Summary

The Assistant Managing Clerk is a critical operational role within Withers’ U.S. Dispute Resolution practice, offering broad responsibility and meaningful impact. This position extends beyond basic docketing or data entry and includes hands‑on state and federal court filings, procedural analysis, docket monitoring, and direct attorney support. The Assistant Managing Clerk serves as a trusted procedural partner, ensuring filings are accurate and timely, deadlines are properly calculated, and litigation calendars are proactively managed across jurisdictions.

 

A successful candidate will demonstrate sound judgment, strong knowledge of court rules, and confidence navigating complex procedural issues. The role requires regular interaction with court clerks, vendors, and internal teams, as well as involvement in attorney admissions, pro hac vice applications, and workflow improvement initiatives. It frequently calls for independent judgment, cross-jurisdictional familiarity, and a proactive approach to resolving procedural issues. While comprehensive knowledge of every jurisdiction is not required, the position demands a detail‑oriented professional who can independently research requirements, gather necessary information, and take ownership of attorney requests from start to finish. This is an excellent opportunity for an experienced litigation professional seeking increased responsibility within a sophisticated, fast‑paced legal environment. 

 

For California, the expected hourly range for this position is between $50 - $58. The actual compensation will be determined based on experience and other factors permitted by law. This role is deemed hybrid and expected to be in the office 3 days a week. 

 

The Role

·         Assist attorneys with timely and accurate state and federal electronic and hardcopy filings

·         Format documents in accordance with local rules, and file documents as required

·         Review documents to be filed for form and procedural compliance and identify and resolve potential defects based on court‑specific requirements

·         Prepare final PDFs of briefs and other legal documents for staging and filing

·         Review judges’ rules and procedures and communicate with court clerks and other court personnel as needed to coordinate complex filings with specific requirements

·         Research and advise attorneys on applicable litigation filing procedures, including case commencement, motions, TROs, judgments, and related filings

·         Assist attorneys and paralegals with service of all filed pleadings on relevant parties, including mailing and hand delivery of courtesy copies to the court when required

·         Assist attorneys with court admissions by obtaining Certificates of Good Standing

·         Establish and maintain a database of attorneys’ electronic filing and registration credentials

·         Occasional travel to court to file, retrieve, and deliver paper copies as required

·         Maintain case calendars and track deadlines; calendar relevant deadlines for attorneys and all required parties using firm systems

·         Calculate rule‑based litigation deadlines and provide weekly calendar reports to attorneys

·         Conduct weekly reviews of case dockets to ensure all deadlines are accurately reflected for each case

·         Assist with procedural research assignments and other administrative projects

 

Key Skills and Experience 

·         Bachelor’s degree required

·         Minimum of 3-5 years of filing and docketing experience within a Managing Clerk’s office or similar litigation support environment

·         Substantial experience completing PACER/ECF filings across multiple federal jurisdictions, with experience in electronic filings in California state courts; New York state court experience is a plus

·         Extensive experience coordinating and staging multiple filings, including preparation of documents and exhibits for attorney review and electronic submission

·         Working knowledge of litigation docketing and calendaring processes, including use of docketing software; experience with Milana is a plus

·         Familiarity with California court rules and procedures

·         Ability to navigate multiple electronic databases and document repositories

·         Strong analytical, troubleshooting, organizational, and planning skills with exceptional attention to detail

·         Excellent command of grammar, spelling, punctuation, and written style

·         Proven ability to work effectively both independently and in a collaborative team environment, with strong interpersonal skills

·         Enthusiastic, proactive, and positive professional demeanor

·         Flexibility to work overtime as needed

·         Notary Public preferred but not required
