Overview

The Client Services position at Withers is responsible for increasing attorney effectiveness by providing administrative support, information and information management and representing the attorney to clients and others. This role is resident in the New York office and supports fee earners in the Private Client Tax area as well as Corporate attorneys.  For New York, the expected hourly range for this position is between $32 to $39. The actual compensation will be determined based on experience and other factors permitted by law. This role is deemed hybrid and expected to be in the office 3 days a week.

Essential Duties and Responsibilities

  • Drafts letters and documents; collects and analyzes information; prepares charts, graphs, and other visuals.
  • Supports fee-earners and clients by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents.
  • Maintains hard copy and electronic filing system (FileSite/iManage).
  • Schedules meetings with internal and external participants and arranges conference rooms.
  • Communicates and obtains information from/for internal and external clients.
  • Inputs attorney time into timekeeping software (3E).
  • Prepares Chrome River reimbursement reports for assigned fee-earners.
  • Maintains attorneys' calendars by scheduling conferences, teleconferences, and travel .
  • Assist with coordinating the monthly billing process between accounting and assigned partner(s). This includes preparation of draft and final client invoices and transmittal of same.
  • Supports the New Client Intake process which includes the conflicts check, matter details and Engagement Letter preparation.
  • Operates office equipment including photocopy machine and scanner when needed.
  • Maintains confidentiality of client and firm matters.
  • Performs other job-related duties as assigned.

Key Skills and Experience

  • 3+ years as a secretary or administrative assistant in a law firm, with experience in supporting partners.
  • This role is hybrid and the expectation is the role will be in the office for at least 3 days per week and additional days when required.
  • Bachelor's Degree preferred.
  • Must possess strong technical skills, with solid knowledge of Microsoft Word, Excel, Outlook, PowerPoint. Experience using a document management system such as FileSite/iManage is beneficial.
  • Strong communication skills: the ability to express self effectively, both orally and in writing including excellent spelling, grammar, punctuation, form and style. Ability to compose correspondence as needed.
  • Interpersonal skills: the ability to establish effective working relationships with colleagues and clients.
  • Ability to prioritize and multitask effectively.
  • Knowledge of library operations and records storage procedures for retrieving materials and files.
  • Ability to work both as a team as well as independently.
  • Notary strongly preferred
